How often does WriteWorks scan?
WriteWorks scans every brand once a day on every plan, and scans newly added prompts straight away.
This article explains how often WriteWorks scans your brands and prompts, and how quickly you'll see the results.
WriteWorks runs a scheduled job every day that dispatches a daily scan for each brand. This happens on every plan, so no matter which tier you're on, your brands are refreshed once a day automatically. You don't need to trigger these daily scans yourself.
During a scan, each of your prompts is swept across the engines included in your plan, in each region you monitor. Every plan includes one region (the market you chose during onboarding); extra regions can be added with the Region add-on. When you add or import new prompts, WriteWorks scans them straight away instead of waiting for the next daily window, so you see results for new prompts without delay.
Once a scan finishes, the results flow back automatically. The AI visibility pages check for newly finished scans about once a minute and refresh on their own. While a scan is running, a banner at the top of the AI visibility pages tells you it's still scanning and how many prompts have been covered so far.
Scans only run for organisations with an active subscription. If your subscription has lapsed or your organisation is frozen, scheduled scans are skipped until billing is resolved.
How to check your latest scan
- Sign in to WriteWorks and open AI visibility for the brand you want to review.
- Look for the scanning banner at the top of the page; when it disappears, the scan has finished and the figures are up to date.
- Add a new prompt whenever you want an immediate scan, since new prompts are picked up right away rather than on the next daily cycle.
Tip: because daily scans are automatic, you rarely need to do anything to stay current. If you've just added prompts, give the scan a few minutes and the page will refresh with the new results.
