Knowledge base folders and synced data
Upload documents to the Knowledge base, organise them into folders, and connect live sources in Synced data so your Context records stay current on their own.
The Knowledge base holds the documents WriteWorks reads to understand your brand, and Synced data keeps it current on its own by reading live sources every day. Everything in either place feeds your Context records, which every AI feature uses. This article explains how to add documents, organise them and connect sources.
You can upload PDF, Word (.docx), Markdown or TXT files of up to 5 MB each. Only the text of each file is kept. Good examples are a positioning doc, a product overview, customer personas, competitor battlecards and a content style guide. Each document shows which Context records it is Used in, and after an upload your records update shortly.
Folders help you keep documents tidy, but they do not change what the AI reads. You can create, rename and delete folders, move documents between them, and search, sort and filter documents by source. Deleting a folder moves its documents back to the top level.
How to upload documents
- Open Context → Knowledge base.
- Choose a folder, or stay at the top level. Use New folder to create one.
- Click to upload, or drag and drop your files.
- Use Move to if you want to file a document somewhere else later.
Synced data connects live sources so you do not have to upload copies. Each source is re-synced daily, and your records rebuild whenever something changes. You can connect up to 20 sources:
- Web: your Website, Specific pages you choose, or an RSS feed.
- Search data: Search Console top pages, the pages earning the most clicks over the last 90 days.
- CMS: WordPress, Webflow, Contentful and Sanity.
- Workspace docs: Notion and Confluence.
How to connect a synced source
- Open Context → Synced data.
- Find the source. If it shows Not connected, click the button to connect it in Settings → Integrations first.
- Click Add, fill in the details, such as the website address or the pages to read, and confirm.
- Watch the status change from Not synced yet to Syncing and then Up to date. Reading content can take a few minutes, and you can leave the page.
If a source shows Sync failed, click Sync now to try again, and check that the integration is still connected. Syncing reads content with AI, so it uses AI tokens. If you run out, top up or upgrade to keep syncing. Removing a source also deletes the documents it added to your Knowledge base. Members without permission can view sources but need an admin to connect or remove them.
Tip: start by syncing your website. It is the quickest way to give WriteWorks the full picture of your brand.
